The reason why videoconferencing is catching on is because it is easily available as a managed online service. You can use software that can be managed locally behind the firewall on a regular PC server. You can also opt for conventional videoconferencing hardware that is meant to be installed in a boardroom, though this solution is likely to be much more complex and expensive.

Conventional video conferencing systems may cost you $25,000 or more, which may make them unaffordable for most small businesses. These systems require at least one dedicated phone line and may require dedicated video switching equipment.

In comparison, IP-based web and videoconferencing systems use inexpensive audio and video components that are easily available. Any small business that has a PC, webcam and a fast Internet connection can afford to use video conferencing. There is no need to buy any expensive software or hardware.

This has made it possible to use videoconferencing in such diverse fields as engineering, healthcare, manufacturing, finance, business and commercial training. Any company can use it to get a global footprint. It need not post employees in different parts of the world but can conduct business over the net using web conferencing.

It is especially useful for small businesses which have few employees and a limited budget. They can now reach distant markets and compete with larger companies. Most importantly, they can do this in real time.

The same applies to personnel department. The HR managers need not summon candidates for an interview. They can use videoconferencing to conduct an interview even if the candidate happens to be based in another country.

Web and video conferencing is also suitable for customer support and training. Training programs can be conducted at any scheduled time from anywhere. The remote control function can be used by a remote host, to take control of a participant’s computer, to demonstrate how a task is to be performed.

Web and video conferencing allows customers to hear as well as see the people they are communicating with. This makes it an ideal tool for customer and technical support. The problems of the customers can be solved online by using a combination of audio, video, remote control, chat and desktop/application sharing.

Education is another area where videoconferencing has made a significant contribution. More and more institutions are turning to videoconferencing as an important teaching tool. They find it a very effective way of reaching out to students.
